Overview of processing

We process data that is technically necessary to operate this website, namely usage data (pages visited, access times) and meta/communication data (IP address, device and browser information), which briefly appear in our hosting provider’s server log files.

We also process account and content data in connection with our Discord server and its ticket system, as described further below. This website itself has no user accounts or logins.

Data subjects are visitors to this website, members of our Discord server, and persons who are named in a report submitted through our ticket system.

Legal basis

Processing is based on our legitimate interests (Art. 6(1)(f) GDPR): operating this website securely and reliably, and, for our Discord server and ticket system, running a fair and traceable community and moderation process. Each processing activity below states its specific legal basis.

Security measures

We use SSL encryption (HTTPS) to protect data transmitted through this website. You can recognize this by the "https://" prefix in your browser’s address bar.

Hosting

This website is hosted by: Hetzner Online GmbH, Industriestr. 25, 91710 Gunzenhausen, Germany. We have a data processing agreement (DPA) with this provider under Art. 28 GDPR.

Visiting the website automatically generates server log files (name of the file accessed, date and time, data transferred, browser type, operating system, referrer URL). IP addresses are anonymized immediately or not stored permanently, so they cannot be traced back to an individual. Log files are deleted after a maximum of 7 days.

Content delivery and security (Cloudflare)

This website runs behind Cloudflare, Inc. (101 Townsend St, San Francisco, CA 94107, USA), which we use as a reverse proxy, content delivery network (CDN), and protection against attacks (e.g. DDoS). All traffic to this website passes through Cloudflare’s network before it reaches our hosting provider.

In doing so, Cloudflare processes technical data such as your IP address, browser type, and the time of your request in order to route traffic, cache content, and detect malicious requests. We have a data processing agreement with Cloudflare; Cloudflare is a certified participant in the EU-U.S. Data Privacy Framework. More information: https://www.cloudflare.com/privacypolicy/

Local storage instead of cookies

This website does not use cookies. Only your language choice (English/German) is stored locally in your browser (local storage), which is technically necessary so the site remembers your chosen language on your next visit. This information never leaves your device.

External links

This website links to external services and sites, including the Steam store (Valve Corporation, USA) and the separately operated Trinity Wardogs and Trinity DayZ websites. Clicking these links takes you away from our website; the respective provider or operator is responsible for data protection on their own site. No unlawful content was identifiable at the time of linking; we will remove such links immediately if we become aware of any violations.

Discord server

We run a Discord server as our community hub. Discord is provided by Discord Netherlands BV and Discord Inc., 444 De Haro Street, Suite 200, San Francisco, CA 94107, USA. Discord processes your data as an independent controller under its own privacy policy (https://discord.com/privacy), and we have no influence on that processing. Discord Inc. is a certified participant in the EU-U.S. Data Privacy Framework.

Within the channels we operate we can see and process the data you make available there, such as your Discord user ID, username, display name, avatar, roles and the messages and files you post. We do this to run and moderate our community server, based on our legitimate interests under Art. 6(1)(f) GDPR.

Ticket and report system

Our Discord server has a report channel where you can open a ticket at the push of a button. Each ticket is a private channel that only you and our admin team can read and write in.

We process your Discord user ID, username and display name, the time the ticket was opened and closed, and everything posted inside it, including messages, images, video links and other files. Reports regularly also contain information about other players, such as their in-game or Discord name, a description of their behaviour, and screenshots or recordings.

We use this data to receive and handle reports, complaints and support requests, to document moderation decisions such as warnings, kicks and bans, and to keep those decisions verifiable if they are later disputed. The legal basis is our legitimate interest in a fair and traceable moderation process under Art. 6(1)(f) GDPR.

Tickets are exported from Discord into our own database so that they remain available to the admin team after the Discord channel is closed. This database is hosted with the same provider as this website, Hetzner Online GmbH (Industriestr. 25, 91710 Gunzenhausen, Germany), and is accessible only to members of the admin team. Closed cases are deleted after 12 months. Where a case is the basis for an active ban, we keep it for as long as that ban is in force.

If you are named in a report, we process data about you that we did not receive from you. This section, together with the rights listed below, serves as the information required under Art. 14 GDPR. We may postpone informing you individually where doing so would make it impossible to establish what happened, for example while a case is still under review.

Game servers

Our game servers only store what the game itself and its anti-cheat require to operate and enforce bans. Once WARDOGS is live, this will include what Easy Anti-Cheat requires; details will be added here once that server is online.

Deletion of data

Data we process is deleted once it is no longer required for its purpose and no statutory retention obligations apply.
